Apologies for there being a lot to look at in this ticket link, but the last links of the bunch are the most up-to-date and are labeled with the word "FINAL" at the end of the file name. Flock planning meetup?

Hi Joe & Jen,
I think at this point we should probably be having a weekly Flock
planning meetup. I personally don't care how -- IRC, video, whatever,
but we're at a point where a more frequent interlock would be helpful,
inviting all relevant folks.
* For instance, Ryan mentioned to me he's looking for sponsor info,
and other information for collateral. AIUI the booklet's mostly
done, but he's blocked on needing some info from planners to
complete.
* I'm not sure whether the night event is booked, but I reached out to
Bex offlist for an update, pointing him to Rafal's message (TODO
list) from the 4th.
* I sent separate email for an outside keynote decision, offlist since
we're not sure yet about approval.
* Someone asked me about recording of talks. Last time in Rochester,
we used laptops to do the recording, and Spot graciously pushed
everything up to YouTube:

Someone in RDU would need to requisition the laptops and ship them,
else do the same thing with Brno IT. Setting them up for recording
is easy; we just installed Fedora Workstation and recorded using the
laptop webcam & Cheese. Room monitors reminded each speaker what to
do to start/stop.
* There are probably a bunch of miscellaneous office-supply odds and
ends we could use as well, might not be a bad idea to collect a list
and ask someone to gather and bring with, or get a friendly Brno
person to do that (or ship).

TODO list

1. Hotel - I assume this is handled by Brian:
- they need the menu details for all 4 days ASAP as well as
a number of the people with special dietary needs [1],
- also they need to know what rooms set-ups do we need,
what equipment, how many people in each room, etc.
2. Game Night - I assume this is handled by Brian & Filip.
3. Walking tour [2] - I remember Brian said it should have been
signed and paid one month before the event, that is 3 days ago.
Brian, is that done already?
4. Boat party [2] - as far as I understand it has been agreed that
this party will happen. Is it OK for 3 hours, from 7:30pm to 10:30pm?
We must choose the menu. I don't publish it here because I don't want
to overwhelm the list with too many details. As Brian noticed, we must
decide and sign an agreement ASAP or we may lose the option.
5. Beer/dinner party at Browar Lubicz - I assume this is handled
by Brian. Is this already done? Do you want me to contact them
directly?
6. Buses for the downtown events - is my plan [3] acceptable?
Note that we need all events confirmed before ordering the
buses.
Please be aware that after 22 July Krakow will be a deadlocked town,
many businesses will be closed, many people will leave for holidays,
for example some people from the hotel staff (it's confirmed, not
assumed!) so all things not finished before that date must be assumed
as would never be done.

Please fix typos in venue names

Hello,
Please fix the typos in the venue names at http://flock2016.sched.org/ :
"Picaso" => "Picasso"
"Rembrant" => "Rembrandt"
grep to find all occurrences. Also please do the same fix on other
servers if the same typos occur.

Re: Food

Hi,
I spoke with the hotel staff today about the refreshments.
They will provide food/drink for coffee breaks and lunch
breaks. All lunches will be delivered as a hot buffet, each
person will be able to choose whatever they prefer themselves.
Regarding the vegetarian option they usually provide at least
one vegetarian dish. In case of the persons having very special
requirements (e.g., for medical reasons) they should contact the
staff individually.
They do not provide other meals except the breakfast for those
who also are their hotel guests.
However, the hotel staff have the following questions so please
contact them or answer to me (here on this list or in private)
ASAP:
1. What is the number of attendees? I said 250 but this must
be confirmed.
2. Please choose the menu for each day. They said they had sent
the menu proposal but have not yet got any answer.
3. Please also provide them the number of people with vegetarian,
vegan, and other special diet. I mean the data which you have
already collected while registering but have not disclosed.
Although they are always ready for some vegetarian people
it may happen there are more such people than they expected
or there may be some people with the needs than they did not
think about.
Also note that some people at the hotel have PTO since 22 July
so all this information must be provided ASAP.
As far as I know the hotel issues are handled by Brian. So,
Brian, if you need my assistance do not hesitate to contact me.

Need a roommate? + Conference Hotel

Hi,
I know there's a number of folks who still haven't booked their room /
are confused about it. It looks like there isn't a roommates wiki page
so I created one:

I also checked with the hotel, Best Western Premier Hotel in Krakow (btw
their English is great,) and they have between 11-29 rooms left under
our rate depending on arrival and departure dates.
